SharePoint Server 2016 Standard User CAL – client access licence per user
The SharePoint Server 2016 Standard User CAL entitles a specific user to access SharePoint Server 2016 from any number of devices – on a PC, laptop or smartphone. It fits if your employees use several devices.
You receive one CAL; simply order the number you need as the quantity. The CAL complements the SharePoint Server 2016 server licence. For mixed environments, the counterpart is available as SharePoint Server 2016 Standard Device CAL.
The key facts at a glance
- Standard CAL for one user on any number of devices
- Applies to SharePoint Server 2016 and older SharePoint versions
- Access via browser, Office applications and mobile devices
- Basis for a later Enterprise CAL
- Licence data and invoice by e-mail as proof
Who is the User CAL for?
- Employees who access the intranet and documents with PC, laptop and smartphone
- Project teams and managers who also approve documents on the move
- Companies with home office workstations
- Teams whose size is easy to plan
Requirements
- a SharePoint Server 2016 server licence (or an older SharePoint version)
- one Windows Server CAL per user or device in addition, matching the version of your Windows Server
- a configured SharePoint farm with a SQL Server database
User or Device – which fits?
| User CAL | one user, any number of devices – ideal for PC, laptop and smartphone |
| Device CAL | one device, any number of users – ideal for shift work and shared PCs |
| Combining | User and Device CALs may be mixed in one environment |
| Enterprise features | an Enterprise CAL per user or device in addition to the Standard CAL |

Why SharePoint Server 2016?
SharePoint Server 2016 was developed on the basis of experience from cloud operation. MinRole simplifies building a farm, large files can be stored directly, and links to documents are retained even after moving.
What your employees use with SharePoint Server 2016
- MinRole: server roles are defined during setup and configured automatically
- Store files up to 10 GB directly in libraries
- Durable links remain valid even if documents are moved or renamed
- Data loss prevention (DLP) and advanced compliance features
- Joint editing of Office documents with version history
Typical scenarios
- New employees get access to the intranet and department folders – on all their devices
- Field staff retrieve price lists and product documents on the move
- When growing from 30 to 40 employees, simply order 10 more CALs
Example calculation
A company with 35 employees, each using a PC and a laptop, needs 35 SharePoint Standard User CALs and 35 Windows Server User CALs. With Device CALs it would be 70 licences – the User CAL is clearly cheaper here.
Documenting licences properly
SharePoint CALs are not entered in the server. They prove that a user or device may access it. So keep a simple list of which employees use a CAL and keep the invoice with the licence data. That way you are on the safe side in a licence audit.
System requirements
- Server: SharePoint Server 2016 or an older SharePoint version
- Access: current web browser such as Edge, Chrome, Firefox or Safari, Office applications and mobile devices
Delivery and proof
- After payment you receive the licence data and invoice by e-mail.
- Assign the CALs to your users and note the assignment.
- Assign permissions in SharePoint as usual.
- Keep the invoice and licence data for a possible licence audit.
Frequently asked questions
Do I also need a Windows Server CAL?
Yes. Because SharePoint runs on Windows Server, every access needs a Windows Server CAL in addition to the SharePoint CAL.
May I use it to access older SharePoint servers?
Yes. A CAL entitles access to the same or an older version. For a newer SharePoint server you need CALs of the newer version.
Can I assign a User CAL to another employee?
Yes, permanent reassignment is allowed, for example when an employee leaves the company. Switching between people daily is not intended.
Do I need a different CAL for Enterprise features?
Yes. The Enterprise CAL is assigned in addition to the Standard CAL. For intranet, document storage and team sites, the Standard CAL is sufficient.
My software requires a specific version – what should I do?
Before buying, check which version the vendor of your specialist application has approved. Feel free to write to us in advance – we will tell you which licence suits your environment.
Will I receive an invoice?
Yes, with VAT shown, with your company address on request.
