Microsoft Access is Microsoft's database program and the ideal solution for anyone who wants to manage, analyse and present structured data professionally – without the effort and cost of a full enterprise database solution. From simple customer databases and inventory management to complex relational database projects with automated reports: Access offers a powerful yet accessible platform for database work of any scale. At Lizenzindustrie you get Microsoft Access in our Office Programs category as a verified individual licence – delivered by email, at a price well below the official list price.
What is Microsoft Access and what is it used for?
Microsoft Access is a relational database management system – RDBMS for short – that makes getting started with database development considerably easier. Unlike pure database servers such as Microsoft SQL Server or MySQL, Access offers a complete graphical user interface with which databases can be created, populated, queried and analysed – without requiring in-depth programming knowledge.
The typical Access user is not a database developer in the classic sense. They are clerks, administrative staff, financial controllers, tech-savvy employees in small businesses and anyone who regularly works with larger amounts of data and needs more structure and power than Excel can offer – but doesn't need the complexity and cost of a full database system.
The most common uses of Access are clear: customer databases for managing contacts, orders and communication history. Inventory management for stock, movements and orders. Project databases for tracking tasks, resources and deadlines. Membership management for clubs and organisations. And internal company databases for all areas in which structured data needs to be recorded, managed and analysed.
What Microsoft Access can do
- Relational databases – Access lets you create fully relational databases with multiple linked tables, primary and foreign keys and referential integrity. Data is entered once and reused in as many places as you like – without redundancy and without inconsistencies.
- Graphical queries – Query, filter, sort and summarise data from one or more tables – with the graphical query designer, no SQL knowledge required. Full SQL input is available for advanced users.
- Forms – Create professional data entry forms that are intuitive to use even for users with no database knowledge. Entries are saved directly in the database, and validation rules prevent incorrect input.
- Reports & analyses – Automatically generated, professionally formatted reports straight from the database – as a printed document or PDF. Sales reports, stock lists, customer summaries and more at the click of a button.
- Macros & VBA – Automate recurring tasks, program your own functions and turn Access into a fully automated database system – with simple macros or the full VBA development environment.
- SQL Server integration – Access can be used as a front end for Microsoft SQL Server – the familiar Access interface with the performance and scalability of a full database server in the background.
- SharePoint integration – Access can include SharePoint lists as linked tables – for sharing data within a team.
- Import & export – Import data from Excel, CSV, SQL Server, ODBC data sources and many other formats – and export data to the same formats. Access is not an island, but a fully integrated link in the data chain.
- Multi-user capability – Several users can access a shared Access database at the same time – via a network drive or SharePoint. For small teams, this is a pragmatic and cost-effective solution for shared database applications.
Access or Excel – when is Access the better choice?
Many people ask this question – and it deserves a clear answer.
Microsoft Excel is excellent for analysing and evaluating data – for calculations, charts and reports. But Excel is not a database system. With growing amounts of data, complex relationships between different records, simultaneous access by several users and the need for structured data entry, Excel quickly reaches its limits.
Access is the better choice when your data grows beyond several thousand records and Excel becomes sluggish. When data needs to be structured in several linked tables. When several employees need to enter and retrieve data at the same time. When automated reports and analyses are needed regularly. And when data integrity needs to be secured through validation rules and referential integrity.
In short: Excel is the analysis tool, Access is the database tool. The two complement each other perfectly – and many companies use both side by side.
Important note: Access is available for Windows only
Microsoft Access is only available for Windows – there is no native Mac version. Mac users who need relational databases can turn to FileMaker (Claris) or web-based database solutions. Full Mac versions of all other Office programs are available from Lizenzindustrie.
Access as an individual licence or in an Office suite?
Microsoft Access is only included in the Professional editions, for example of Microsoft Office 2021 – the Home & Student and Home & Business suites do not include Access. If you need Access together with Word, Excel, PowerPoint and Outlook, a Professional suite from our Office Suites works out cheaper than buying the programs individually. If you only need Access, you save with the individual licence.

Frequently asked questions about Microsoft Access
What is the difference between Access and Excel?
Excel is optimised for calculations, analyses and evaluations. Access is a relational database system for the structured management of larger amounts of data with multiple linked tables, forms and automated reports. For small amounts of data and simple analyses, Excel is the better choice – for growing amounts of data, complex data structures and multi-user access, Access is superior.
Can Access work together with SQL Server?
Yes. Access can be used as a graphical front end for Microsoft SQL Server – the familiar Access interface for users, with the full performance and scalability of SQL Server in the background. Ideal for companies that want to start with Access and later migrate to a full database server.
How many users can access an Access database at the same time?
Access supports simultaneous access by several users via a network drive – in practice, up to around 10–20 simultaneous users reliably. For larger numbers of users or higher performance requirements, we recommend migrating to Microsoft SQL Server with Access as the front end.
Is Access included in Microsoft 365?
Yes. Microsoft Access is included in several Microsoft 365 plans for Windows PCs – in Personal and Family as well as in Business Standard and Business Premium. Business Basic does not include a desktop version.
Is Microsoft Access also available for Mac?
No. Microsoft Access is available exclusively for Windows. There is no native Mac version, nor has Microsoft announced any plans to release Access for macOS.
Can I import Access databases into Excel?
Yes. Data from Access can easily be exported to Excel – and vice versa. Access imports Excel data directly and can also include Excel spreadsheets as linked tables, so that changes in Excel are automatically available in Access.
How quickly will I receive my licence key?
The Access key is usually delivered within 5 to 30 minutes after payment is received. After installation and activation, you can create your first database within a few minutes.
