Exchange Server 2019 User CAL – client access licence per user
The Exchange Server 2019 User CAL entitles a specific user to access Exchange Server 2019 from any number of devices – at the workplace with Outlook, on the move with a smartphone or at home via the browser. It is the right choice if your employees use several devices.
The CAL is available as 1, 5, 10, 25 or 50 licences. It complements the Exchange Server 2019 Standard or Enterprise server licence and applies to both server editions. For mixed environments, the counterpart is available as Exchange Server 2019 Device CAL.

Why Exchange Server 2019?
Exchange Server 2019 runs on Windows Server 2019 and 2022, can be installed on Server Core and is designed for large mailboxes and fast search. Anyone who wants to continue running e-mail and calendars entirely in-house will find a version with a perpetual licence here.
What your employees use with Exchange Server 2019
- New search technology for faster results even in very large mailboxes
- Calendar: “Do not forward” option and out-of-office times directly as an appointment
- Administrators can specifically cancel meetings of departed employees
- Shared calendars, contacts and tasks for teams and departments
Typical scenarios
- New employees get a mailbox and a CAL – regardless of how many devices they use
- Smartphones and tablets are connected via Exchange ActiveSync without additional licences per device
- When expanding from 10 to 15 employees, simply order 5 more CALs
Example calculation
An office with 18 employees, each using a PC and a company mobile phone, needs 18 Exchange User CALs and 18 Windows Server User CALs. With Device CALs it would be 36 licences – the User CAL is clearly cheaper here. Shared mailboxes such as info@ as well as room and resource mailboxes do not need their own CAL; the users or devices accessing them are licensed.
Documenting licences properly
Exchange CALs are not entered in the server. They prove that a user or device may access it. So keep a simple list of which employees use a CAL and keep the invoice with the licence data. That way you are on the safe side in a licence audit or when changing IT service provider.

Frequently asked questions
Do I also need a Windows Server CAL?
Yes. Because Exchange runs on Windows Server, every user needs a Windows Server CAL in addition to the Exchange CAL.
May I use it to access older Exchange servers?
Yes. A CAL entitles access to the same or an older version. For a newer Exchange server, however, you need CALs of the newer version.
Can I assign a User CAL to another employee?
Yes, permanent reassignment is allowed, for example when an employee leaves the company. Switching between people daily is not intended.
Does the CAL apply to Standard and Enterprise?
Yes. The CAL entitles access to Exchange Server 2019 regardless of whether the server is licensed as Standard or Enterprise edition.
My software requires a specific version – what should I do?
Before buying, check which version the vendor of your specialist application has approved. Feel free to write to us in advance – we will tell you which licence suits your environment.
Will I receive an invoice?
Yes, with VAT shown, with your company address on request.
